Eureka Translations Pte. Ltd. (UEN 201407745Z) (“Eureka”, “we”, “us”) respects your personal data. This policy explains how we collect, use, disclose and protect it under Singapore’s Personal Data Protection Act 2012 (PDPA).

1. Personal data we collect

• Contact details you give us: name, email address, phone number, company and address.
• Documents you send for translation, interpretation or transcription. These may contain personal data about you or others, such as NRIC or passport numbers, dates of birth, addresses and family details.
• Billing and payment details needed to issue invoices and receive payment.
• Website data: messages sent through our contact form, and technical data such as IP address, browser type and pages visited.

2. How we use it

• To prepare quotations and deliver the services you request.
• To arrange certification, notarisation, apostille, legalisation and delivery.
• To communicate with you, issue invoices and collect payment.
• To protect our website from spam and misuse.
• To meet our legal, accounting and regulatory obligations.

We send marketing messages only with your consent, and you may opt out at any time.

3. Documents you send us

We use your documents only to carry out your instructions. Access is limited to the staff and translators working on your job, who are bound by confidentiality obligations. We do not use your documents for any other purpose.

4. Disclosure

We disclose personal data only as needed to deliver your service or as required by law, to:

• translators, interpreters and proofreaders we engage;
• notaries public, the Singapore Academy of Law, embassies and other authorities, where you ask us to arrange certification or legalisation;
• couriers and postal services;
• IT, hosting, email and payment service providers;
• government or regulatory bodies, where required by law.

We do not sell personal data.

5. Cookies and website tools

Our website uses cookies and similar technologies for:

• Google Analytics, to understand in aggregate how visitors use the site;
• Google reCAPTCHA and CleanTalk, to block spam on our forms;
• Wordfence, to protect the site from attacks.

These services may process your IP address and device information. You can block or delete cookies in your browser settings, but parts of the site, such as the contact form, may then not work.

6. Transfers outside Singapore

Some of our service providers, and some translators we engage, may process personal data outside Singapore. When this happens, we take steps such as contractual obligations to ensure the data receives a standard of protection comparable to the PDPA.

7. Protection

We protect personal data with access controls, encrypted connections, antivirus software and confidentiality obligations. No transmission over the internet is completely secure, but we work to keep the risk low.

8. Retention

We delete documents you send us, and our translations of them, 90 days after delivery unless you ask us in writing to keep them longer or delete them sooner. Other personal data is kept only as long as needed for its purpose or as required by law (for example, accounting records), then deleted or anonymised.

9. Data breaches

If a data breach is likely to cause you significant harm, we will notify you and the Personal Data Protection Commission as the PDPA requires.

10. Access, correction and withdrawal of consent

You may ask to access or correct your personal data, or withdraw your consent to its use, by writing to our Data Protection Officer. We aim to respond within 30 days. We may charge a reasonable fee for access requests and will tell you the amount first. If you withdraw consent, we may be unable to continue providing our services.
